BYLAWS OF THE SAINT SEBASTIAN PLAYERS (SSP)
1. The Steering
Committee shall designate a Board meeting in the final quarter of the year for
script submissions from the membership. Every member is entitled to submit up to
three scripts for consideration for the next season. The Secretary shall arrange
for a preference ballot for script submissions; the deadline for this ballot
shall be a board meeting in the first quarter of the following year. In that
ballot, the members will rank their choices among all of the script submissions.
The ballots will be tallied and the Board will begin its consideration of
choices for the next season from among the top six choices of the membership,
although it shall not be limited therein. In choosing the season, the board
shall give special consideration to those plays for which staffing commitments
already have been made. The vote on the season will require a two-thirds
majority of the board. (amended 11/93, 2/96, 11/96, 6/97, 8/97, 9/97, 11/98,
12/01)
2. The casting policy
shall be that members who have demonstrated their commitment to SSP through
active participation during the previous year (as determined by the Officers)
shall enjoy the privilege of being considered for any role over a non-member if
all else is equal. Casting decisions will be made by the director with the
advice of a casting consultant, who shall be a volunteer from the membership.
Members of the Saint Sebastian Players who audition for productions and are not
cast will receive a phone call from the director or casting consultant.
(amended 1/91, 6/97, 8/97, 11/98, 4/02, 4/05, 9/06)
3. No SSP production may be videotaped, audiotaped or photographed except as the Board may approve, but in no event so as to violate applicable copyright laws and licensing agreements. (added 9/91)
4. Any individual
interested in serving as either producer or director of an SSP production shall
submit a written proposal to the Officers, who will appoint those two positions
based in part on the research and preparation included in the proposal. The
producer and director are responsible for selecting the rest of the Production
Committee, including all other positions involving technical and/or
administrative responsibility. It is recommended that individuals interested in
serving in any of these positions also prepare written statements describing
their ideas for handling their specific responsibilities. Individuals wishing to
direct must have worked on at least one prior SSP production (added 1/93,
amended 4/05, 9/06)
5. In planning the SSP production season, company members submitting scripts and Board Directors considering those scripts should use the following guidelines:
(a) Consider plays that offer opportunities for company members on and off stage.
(b) Consider our church location and avoid plays that contain
excessive adult language and/or have strong adult content.
(c) Assemble a season that includes a variety of dramatic genres.
(d) Consider the physical
and technical capabilities of our space. (added 2/96, amended 6/97, 8/97,
11/98)
6. (a) At or before the Annual Meeting each year (and in any event, before the election of a new Board), the Board shall define, by majority vote of those Board members voting, the number and titled responsibilities of positions on the incoming Board; if no such vote is taken before the election of the new Board, the number and titled responsibilities of Board positions shall remain unchanged.
(b) There shall be at least four Board members in addition to the Officers. Each Board member shall have titled responsibilities, except that up to two Board members may serve “at large.” No individual may serve on the Board “at large” for a total of more than two years. There shall be four permanent responsibility areas to be filled (audience development, fund-raising, parish liaison and special events) and such additional positions as the Board may determine. Any member may propose to create a new Board position by submitting a written proposal to the Board stating the rationale for, and scope of responsibilities of, the proposed position.
(c) Nothing in this bylaw shall be construed as preventing any individual from serving in more than one Board position at the same time, except that no Board member serving in a position with titled responsibilities may concurrently serve “at large.” Holding more than one Board position concurrently shall not entitle any Board member to more than one vote on matters before the Board.
(d) If at any time a vacancy exists in a Board position with titled responsibilities, the Board may fill it (until the next regular Board election) in such manner as it deems appropriate.
(added 6/97, deleted 8/97, added 11/98, amended 2/99, 1/05)
